Short Description

Trinity School for Ministry, Ambridge PA, is seeking to hire a full-time Receptionist and Campus Events Facilitator. The Receptionist serves as the first point of contact for callers or campus visitors and must be prepared to triage a wide range of inquiries and requests while proactively and independently addressing issues. Excellent verbal and written communications are required.

Duties and Responsibilities: Answer all incoming calls; receive in-person visitors; sort and distribute incoming mail; handle internal and external inquiries; record messages for faculty, staff, and students; keep faculty and staff attendance record; produce ID cards and name tags for faculty, staff, students, and essential visitors; manage confidential calendar for pastoral counselors; maintain parking permit log; maintain mailboxes for faculty and staff; maintain emergency contact information; facilitate prayer requests for the Development Department; replenish forms displayed in the lobby; maintain electronic welcome board in academic building; serve as point contact for postal machine and facilitate mailing requests; perform other related duties and special projects as assigned by the Dean of Administration; facilitate requests from outside community for all campus events; oversee campus events from beginning to end; post all meetings and events on campus events calendar; reserve all room usage to assure no overlap; coordinate student hosts for events if necessary; serve as point of contact for campus events and facilities requests; notify campus community of events schedule; create name tags for all campus events.

Requirements: knowledge and awareness of current customer service principles; ability to communicate effectively with faculty, staff, students, alumni, visitors and to handle complex and sometimes difficult communications with tact and sound judgement; strong presence of investigative, problem-solving, and critical thinking skills; effective organizational, interpersonal, written, and verbal communication skills; strong customer service orientation; ability to work independently and without supervision on assignments using sound judgement in decision-making; ability to evaluate complex issues, determine appropriate course of action, and propose solutions; ability to promote and adapt to change; ability to prioritize workload; ability to multitask; keen attention to detail; maintain accurate records and find important information quickly; time management skills to prioritize and complete a variety of tasks throughout the day; patience and listening skills to respond appropriately and interact positively with upset customers; respond to all inquires in a timely manner; sensitivity to the rights of individuals treating them with dignity and respect as related to the mission of the seminary.

Proficient use of: complex telecommunications equipment; computer systems and applications, such as Microsoft Office and G Suite for Education; common office equipment; computer scheduling software; email and internet; mail processing equipment. Personal Qualifications: Christian ethics and integrity; commitment to Jesus Christ and Trinity’s vision, purpose, values, and statement of faith; strong work ethic; excellent listening and communication skills; ability to interact pleasantly with staff, faculty, students, and visitors; ability to exhibit a high level of confidentiality and discretion.

Preferred Requirements: previous receptionist experience is strongly preferred; administrative experience in an academic environment is preferred, but not required; willingness to actively contribute to the seminary mission and respect the Anglican identity of Trinity School for Ministry.
